1. Data Controller

The European Table Tennis Union (ETTU Asbl), with registered office at 52, avenue de la Gare, L-1610 Luxembourg, is the controller of personal data processed under this Privacy Policy, unless otherwise stated for specific third-party services or platforms.

2. Scope of this Privacy Policy

This Privacy Policy explains how ETTU processes personal data in connection with:

  • the ETTU website and its digital services;
  • competition and event registrations;
  • rankings, results, statistics and historical records;
  • media, communications and promotional activities;
  • integrity monitoring and safeguarding of competitions; and
  • exchanges with member associations, clubs, players, officials, media representatives, service providers and other participants in ETTU activities.

This Privacy Policy may be updated from time to time. The latest version published on the ETTU website shall apply.

3. Categories of Data Processed

Depending on the relevant activity, ETTU may process:

  • identification data, such as name, nationality, date of birth, gender, club, association and accreditation details;
  • contact data, such as email address, telephone number, postal address and emergency contact details;
  • sporting data, such as entries, results, rankings, match statistics, team composition, officiating details and competition history;
  • media data, such as photographs, audio, video recordings, interviews and livestream footage;
  • administrative and compliance data, such as declarations, eligibility documentation, visa-related support data, disciplinary or integrity-related records where relevant;
  • website usage data, such as browser type, operating system, language, general geographic location, date and time of visit, pages accessed, device identifiers, cookies and similar technologies; and
  • any additional data voluntarily submitted to ETTU by a user, member association, club, participant or other relevant person.

4. Purposes of Processing

ETTU may process personal data for the following purposes:

ETTU may use contact details to send communications, including newsletters, event information and, where applicable, promotional content related to ETTU activities and partners. Such communications are sent only where a valid legal basis exists, including consent where required.

  • operating, maintaining and improving the website and digital services;
  • managing registrations, entries, accreditations, delegations and participation in competitions and events;
  • organising competitions and related logistics;
  • publishing results, rankings, statistics, reports, news items and historical records;
  • producing, distributing and licensing photographs, recordings, livestreams and other media content;
  • communicating with member associations, clubs, participants, media and commercial partners;
  • fulfilling legal, regulatory, governance, disciplinary, safeguarding and integrity obligations;
  • detecting, preventing and investigating match manipulation, betting irregularities, fraud and related misconduct; and
  • establishing, exercising or defending legal claims.

5. Legal Bases for Processing

ETTU processes personal data on one or more of the following legal bases under the GDPR:

  • performance of a contract or steps prior to entering into a contract, including event participation, accreditation, registration and related administration;
  • compliance with legal and regulatory obligations;
  • legitimate interests pursued by ETTU, including the organisation and promotion of sport, preservation of sporting history, website administration, communications, integrity monitoring, safeguarding, anti-fraud measures, media production and protection of ETTU rights; and
  • consent, where consent is required under applicable law or for particular processing activities.

Where consent is relied upon, the relevant person may withdraw consent at any time, without affecting the lawfulness of processing carried out before such withdrawal.

Where processing is based on legitimate interests, ETTU undertakes a balancing assessment to ensure that such interests are not overridden by the rights and freedoms of the relevant data subjects, taking into account the nature of sporting activities and the expectation that certain competition-related information may be processed and published.

6. Recipients of Personal Data

Personal data may be shared, where relevant, necessary and proportionate within the framework of ETTU’s sporting, organisational, regulatory and commercial activities, with:

  • ETTU member associations and their authorised representatives;
  • clubs, teams, players, coaches, medical staff, referees, umpires, delegates, jury members and other officials;
  • Local Organising Committees, host organisations, venues, hotels, travel partners and accreditation or security providers involved in an ETTU event;
  • service providers supporting website hosting, technology, competition management, registration, communications, storage, security, photography, broadcasting, streaming, statistics, analytics and administration, including Stupa as website and technology provider;
  • integrity and monitoring partners, including Sportradar and its affiliated integrity services, for betting monitoring, UFDS control, suspicious-match analysis and related integrity purposes;
  • media outlets, photographers, broadcasters, streaming platforms and commercial partners where publication or use of relevant data is inherent to the sporting event or media activity;
  • public authorities, disciplinary bodies, law enforcement bodies, courts, auditors, insurers, legal advisers and other bodies where disclosure is required or justified by law, regulation, governance obligations or the protection of ETTU’s legitimate interests; and
  • other third-party services linked from or integrated into the ETTU website, subject to their own privacy terms.

ETTU does not sell personal data as a standalone commercial product. However, certain data, results, recordings and media content may be published, licensed, distributed or otherwise used where this is inherent to the organisation, promotion, broadcasting, integrity protection or historical documentation of the sport.

7. International Transfers

Where personal data is transferred outside the European Economic Area, ETTU shall seek to ensure that appropriate safeguards are in place, such as an adequacy decision, standard contractual clauses, or another lawful transfer mechanism under applicable data protection law. This may include, where relevant, transfers to Switzerland.

Certain third-party service providers or integrity partners may process data from outside Luxembourg or outside the European Economic Area in accordance with their own legal obligations and safeguards.

8. Data Security

ETTU implements appropriate technical and organisational measures to protect personal data against unauthorised access, accidental or unlawful loss, destruction, alteration or disclosure, taking into account the nature of the data processed and the risks associated with such processing.

These measures may include, where appropriate, access controls, role-based permissions, secure hosting arrangements, password and account management, backup and recovery procedures, and contractual safeguards with relevant service providers.

9. Integrity, UFDS and Betting Monitoring

To protect the integrity of competitions, ETTU may share relevant sports and event-related data with integrity partners, including Sportradar and associated integrity services, for purposes such as:

  • UFDS control and suspicious betting pattern monitoring;
  • review and analysis of betting markets and match-related alerts;
  • prevention, detection and investigation of match manipulation, corruption, fraud or other integrity risks; and
  • reporting to competent authorities, disciplinary bodies or other relevant stakeholders where justified, including where cooperation is required in connection with the protection of the integrity of sport.

This Privacy Policy describes the processing purpose and legal basis only. It does not set out the commercial terms of any integrity agreement.

10. Data Relating to Minors

ETTU organises youth events and therefore processes personal data relating to minors where necessary for sporting, administrative, media and integrity purposes.

For event registration and delegation entry, personal data of participants, including minors, is submitted by the relevant Member Association, club or authorised team official through the applicable registration system.

By completing the registration, the registering entity confirms that it has obtained all necessary consents and authorisations, including, where applicable, parental or legal guardian consent for participants under the age required by law.

ETTU is entitled to rely on such confirmation and is not required to collect individual consent declarations directly from each participant or legal guardian.

ETTU may nevertheless process and publish limited data relating to minors where this is necessary and proportionate for the conduct and promotion of competitions, including names, results, rankings, team lists, photographs, interviews, recordings and similar event-related content, subject to applicable law and appropriate care.

11. Website Technologies, Cookies and Analytics

If you visit the ETTU website to browse, read pages or download information, certain technical information may be collected automatically, including anonymised or partially anonymised IP-related data, browser type, operating system, language, date and time of visit, general location data and pages accessed.

ETTU uses cookies and similar technologies to operate, secure and improve the website, measure audience and usage patterns and better understand what content is most relevant for visitors, partners and sponsors.

Where required by applicable law, non-essential cookies, including analytics cookies, are only used on the basis of the user’s consent, which may be given, managed or withdrawn through the cookie management tool made available on the website.

Where such third parties process data on behalf of ETTU, ETTU seeks to ensure appropriate contractual protections. Certain third parties may also act as independent data controllers for their own processing activities.

13. Publication of Results, Rankings, Images and Recordings

As part of the nature of sport and sporting governance, ETTU publishes and retains results, rankings, statistics, news items and historical competition information. Such publication may include names, clubs, associations, match details and related sporting information.

At ETTU competitions and events, photographs may be taken and matches, interviews and other event-related content may be filmed or recorded for television, internet streaming, websites, social media, promotional use, media use, archive use and commercial exploitation.

Such recordings, photographs and related materials may be displayed, reused, licensed, distributed or otherwise commercially exploited by ETTU, directly or through authorised third parties, in accordance with the applicable ETTU regulations, event directives and participation framework governing the relevant competition or event.

Participation in ETTU competitions and events implies acceptance of such recording and use in accordance with the applicable ETTU regulations, event directives and participation framework.

14. Retention of Data

ETTU retains personal data for as long as necessary for the relevant purpose, taking into account:

  • the operational need to manage events and sporting records;
  • legal, regulatory, governance and audit requirements;
  • integrity, safeguarding and disciplinary requirements;
  • media, archive and historical documentation purposes; and
  • limitation periods for legal claims.

Sporting records, rankings, results, news and historical materials may be retained for long periods, including permanently where justified by the legitimate interest in preserving the history and continuity of European table tennis.

Where appropriate and feasible, personal data may also be anonymised instead of being deleted.

15. Data Subject Rights

Subject to applicable law, individuals may have the right to request access to their personal data, rectification of inaccurate data, erasure, restriction of processing, objection to certain processing and, where applicable, data portability.

Where personal data is used for communications such as newsletters, individuals have the right to withdraw their consent at any time, including by using the unsubscribe link provided in each communication.

Where ETTU receives a request, it may request sufficient information to verify the identity of the requester and to clarify the scope of the request. Requests shall be handled in accordance with applicable law and may be subject to legal or legitimate-interest limitations.

Individuals may also have the right to lodge a complaint with a competent data protection supervisory authority.

Requests concerning personal data should be addressed in accordance with Article 16 below.

The European Table Tennis Union (ETTU) is the governing body of the sport of table tennis in Europe, and is the only authority recognized for this purpose by the International Table Tennis Federation. The ETTU deals with all matters relating to table tennis at a European level, including the development and promotion of the sport in the territories controlled by its 58 member associations, and the organization of continental table tennis competitions, including the European Championships.
